SYMPTOMS

When you use the basic template to print an invoice, the purchase order number does not appear in the invoice as expected. This problem occurs in the following products:
•Microsoft Office Accounting Professional 2008
•Microsoft Office Accounting Express 2008
•Microsoft Office Accounting Professional 2007
•Microsoft Office Accounting Express 2007
•Microsoft Office Small Business Accounting 2006

RESOLUTION

To resolve this problem, add the purchase order number to the Reference field, to the Memo field, or to the Internal Comments field in the invoice, and then print the invoice by using a Microsoft Office Word template. To do this, follow these steps:
1.Start Office Accounting 2008, Office Accounting 2007, or Office Small Business Accounting 2006.
2.On the Company menu, click Manage Word Templates.
3.In the Manage Microsoft Office Word Templates dialog box, click Invoice in the Template types area.
4.In the Name column, click a template that you want to use, and then click Modify.
A template appears.
5.Use the appropriate method:
•If you use Word 2007, in the Document Actions pane, click Reference to add the Reference field to the template, or click Memo to add the Memo field to the template.
•If you use Word 2003, in the Document Actions pane, click Internal Comments to add the Internal Comments field.

Note In Word 2003, the Reference field and the Memo field are unavailable. The Internal Comments field has the same effect as the Memo field.
Note If the Document Actions pane does not appear, enable the Document Actions option. For more information about how to enable the Document Actions option, click the following article number to view the article in the Microsoft Knowledge Base:

6.Save the template by using a new name in the default folder for templates.

Note The following list includes the default folders for templates:
•In Windows XP, the default folder is one of the following folders, depending on the product:
•If you run Office Accounting 2008, the C:\Documents and Settings\All Users\Templates\Microsoft Office Accounting 2008\Templates folder is the default folder.
•If you run Office Accounting 2007, the C:\Documents and Settings\All Users\Templates\Microsoft Office Accounting 2007\Templates folder is the default folder.
•If you run Office Small Business Accounting 2006, the C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates folder is the default folder.
•In Windows Vista, the default folder is one of the following folders, depending on the product:
•If you run Office Accounting 2008, the C:\Program Data\Microsoft\Windows\Templates\Office Accounting 2008\Templates folder is the default folder.
•If you run Office Accounting 2007, the C:\Program Data\Microsoft\Windows\Templates\Office Accounting 2007\Templates folder is the default folder.
7.On the Customers menu, point to New, and then click New Invoice.
8.In the Invoice dialog box, complete all required fields.

Note You can type the purchase order number in one of the following fields:
•The Reference field
•The Memo field
9.On the File menu, click Print.
10.In the Print dialog box, click Word template in the Print options area.
11.Click Templates.
12.Click the template that you saved in step 6, and then click Select.
13.Click OK.
