PRJ2000: Tasks Are Not Grouped Properly When You Group Them By Resource Names

SYMPTOMS

In Microsoft Project, when you group tasks by resource names and assign more than one resource to a task, Microsoft Project may incorrectly create multiple groups for tasks in which the resources for those tasks are assigned in a different order.

For example, if resource A and resource B are assigned to Task 1 as A,B, and the same resources are assigned to Task 2 as B,A, two separate groups (A,B and B,A) in which to group the resource names are created and displayed in Gantt view.

CAUSE

This behavior can occur if all of the following conditions are true:
  • You assign more than one resource to a task.

    -and-
  • You assign the same resources to multiple tasks.

    -and-
  • For each task to which you assign the same resources, you use a different order in assigning those resources.

    -and-
  • You group tasks by resource names.
Microsoft Project groups the resource name by using the data name rather than the actual resource name.

WORKAROUND

To work around this issue, use either of the following methods, as appropriate to your situation.

Method 1

Select the resources in the same order when you assign multiple resources to tasks for which you want to group by resource name. To do this, follow these steps:
  1. Start Microsoft Project, and then open your project file.
  2. In the Task Name column, select a task for which you want to assign a resource. For example, click Task 1.
  3. Click the Assign Resources button.
  4. Assign the resources that you want to the task.

    For example, if you want to assign resource A and resource B to Task 1, click A, click Assign, click B, click Assign, and then click Close.
  5. In the Task Name column, select the next task for which you want to assign resources. For example, click Task 2.
  6. Click the Assign Resources button.
  7. Assign the resources to Task 2 by using the same order as in Task 1.

    For example, to assign resource A and resource B to Task 2, click A, click Assign, click B, click Assign, and then click Close.
  8. Group the tasks that you want by resource name.

Method 2

Assign one resource to a task. To do this, follow these steps:
  1. Start Microsoft Project, and then open your project file.
  2. In the Task Name column, select a task for which you want to assign a resource. For example, click Task 1.
  3. Click the Assign Resources button.
  4. Assign the resource that you want to the task.

    For example, if you want to assign resource A to Task 1, click A, click Assign, and then click Close.
  5. In the Task Name column, select the next task for which you want to assign resources. For example, click Task 2.
  6. Click the Assign Resources button.
  7. Assign the resource that you want to Task 2.

    For example, to assign resource B to Task 2, click B, click Assign, and then click Close.
  8. Specify the resource groups that you want.
