SUMMARY

In Microsoft Project, you can not send workgroup messages directly to recipients other than the resources assigned to tasks. For example, you want to send a Team Assign message to a resource and to the manager of the resource. This article discusses how to send e-mail workgroup messages to recipients other than a resource assigned to a task.

MORE INFORMATION

To include additional recipients when you send e-mail workgroup messages, create a personal distribution list that includes the resource and all additional recipients of the workgroup messages. To do this, first create a personal distribution list. For more information about how to do this, see the "References" section later in this article.

Then, follow these steps:

  1. In Microsoft Project, on the View menu, click Resource Sheet.
  2. Select the resource that is included in the distribution list.
  3. On the Project menu, click Resource Information.
  4. On the General tab, in the Email field, type the name of the personal distribution list.
  5. Click OK.
Workgroup messages for the resource will be sent to all recipients included in the personal distribution list.

NOTES:

  • When the resource responds to the workgroup messages, the additional recipients will not receive the replies.

  • We recommend that the additional recipients should not reply to messages sent to or from the resource.

  • Users of Lotus Notes and CC:Mail can create a mailing list. Refer to help in the appropriate client for instructions on creating a mailing list.
