PRJ: Invalid Link Indicator in Summary Task Calculated Field

This article was previously published under Q140167

SYMPTOMS

Some fields, such as the Duration field, can be edited for non-summary tasks, but are strictly calculated for summary tasks. If such a field in a non-summary task contains linked data, and if that task later becomes a summary task, then breaking the link fails to remove the link indicator.

If the task is made into a non-summary task again, the field continues to be marked as containing linked data, although the data in the cell is not updated from the link. Overwriting the field with data produces the warning:
Field contains linked data. Okay to remove entire link?
Choosing "Yes" overwrites the data, but does not remove the link indicator.

WORKAROUND

To remove invalid link information, do the following to make the summary task into a non-summary task, and then cut and paste it to remove all the links:
  1. On the Tools menu, click Outlining, and then click Show All Tasks.
  2. On the Tools menu, click Filtered For, and then click All Tasks.
  3. Select all the tasks that are indented below the summary task that contains the invalid link information, and from the Tools menu click Outlining, and then click Outdent.
  4. With any cell selected on the task that has the invalid link information, press SHIFT+SPACEBAR. This selects the entire task.
  5. On the Edit menu, click Cut Task. On the Edit menu click Paste.

This re-creates the task without any linked data.
  6. Select the same tasks that were indented below the original problem summary task, and on the Tools menu, click Outlining and then click Indent.
NOTE: All links into the original summary task have been removed. If the original summary task contained any valid links into editable fields such as Text1, those links will have to be re-created.

STATUS

Microsoft has confirmed this to be a problem in the versions of Microsoft Project listed above.

MORE INFORMATION

Link indicators are small markers in the lower-right corner of cells that contain linked data. To display them, click Options on the Tools menu, and then select the View tab. Under Show, select the OLE Links Indicators check box.

To break a link, select the cell containing the link and on the Edit menu, click Links. Click the Break Link button. Overwriting linked data also breaks the link.
